REPORTS TO: Operations Manager
LOCATION: White Plains, NY
Manage the planning and execution of pre-show and on-site Registration at all assigned events
•Maximize group supply orders with vendors.
•Maintain 30 department budgets; including, new-vendor approvals, invoice processing, budget reconciliation and accrual preparation.
•Approve and single-invoice payments.
•Provide weekly update of the Audience Acquisition file.
•Provide onsite leadership at all designated tradeshows.
•Manage two Operations’ Coordinators, and manage issue escalation for their events.
•Manage onsite temporary agency process and approve schedules.
•Manage team travel schedule.
•Oversee vendor/third party contracts.
•Maintain awareness of latest industry trends and apply to assigned events/conferences.
•Travel as necessary to assigned events/conferences/special events.
•Manage and maintain relationships with internal customers, associations and partners.
•Facilitate site inspections, if required.
•Participate in weekly team meetings.
•Manage other events/conferences/special events as assigned by Operations Director.
•Recruit, interview, hire, and develop the operations staff as assigned by the Operations Director.
•Strong communication skills both written and verbal; exceptional customer-service skills.
•Able to meet deadlines.
•Highly adaptable at multi-tasking within a fast-paced changing environment.
•Highly organized with strong attention to detail.
•Able to manage both internal/external customers.
•Highly proficient using Microsoft Office.
•Must be able to travel approximately 20% of the year.
•College degree preferred.
•Prior experience in travel industry, events, hospitality highly preferred
•3-5 years prior operations/management experience.
•Meeting planning tradeshow experience registering attendees.
•Operations experience preferred.
•Prior budgetary experience highly preferred
