Operations Manager – Cycling & Fitness

Reports To: Operations Director, Sports Group
Location: San Juan Capistrano, CA

Position Summary:
Organize and produce three tradeshows, along with additional conferences and media events for the Cycling & Fitness Group. Ensure all trade show operation/logistical efforts are executed efficiently and in a cost-effective manner. Contribute to creating show elements that improve the attendees’ experience.

Essential Functions/Job Duties: (Listed in order of importance. This list is not all inclusive; additional duties will be performed as required.)

Budget Responsibilities:
•Manage overall Cycling & Fitness budget.
•Ensure expenses are within budget.
•Research and recommend cost saving measures directly related to expenses.
•Track and provide expense details on all appropriate expenditures.
•Assist in all aspects of show closing, including but not limited to accruals and coding.

Project Management:
•Provide accurate and timely event requirements to the venue, decorator and contracted suppliers.
•Manage event requirements and provide event details according to planning guide and timeline specifications.
•Ensure all communication, requests, and issues are addressed in a timely manner.

Vendor Management:
•Research and recommend new vendors.
•Provide vendors with clear and timely communication.
•Manage Vendor expectations.
•Ensure that all vendor post show communication has taken place.

Team Management:
•Oversee and manage research for off-site event and entertainment venues.
•Manage the development of new sponsorship opportunities.
•Oversee the execution and production of all sponsorships.
•Ensure staff communication is clear and all information is disseminated accurately and timely
•Oversee all meeting-room assignments
•Ensure operations’ coordinators run all seminars, meeting room bookings and special events smoothly and on time.

•Assist Operation’s Director with special projects, as assigned.
•Assist with floor management at other Emerald Exposition events.
•Perform other duties as assigned by manager.

•Able to take initiative; takes ownership in work and delivers results.
•Strong in time management and able to manage multiple, simultaneous tasks.
•Highly organized.
•Highly proficient in trouble shooting and solution oriented.
•Strong communication skills.
•Proficient using: Excel, Word and Adobe Acrobat.
•Able to travel an average of 30-45 days per year for up to 8 days per trip.

•College degree required.
•Previous budget experience required.
•Management experience preferred.
•Project management experience required.
•3-5 years of tradeshow/event experience highly preferred.
